Inventory
The inventory feature allows you to perform physical counts of assets. This guide explains how to use inventory sessions.
Understanding Inventory
Inventory sessions are used for:
- Physical asset counting
- Verification of asset locations
- Audit purposes
- Asset tracking
Creating an Inventory Session (Admin Only)
- Navigate to Inventory from the main menu
- Click + New Session or Create Session
- Optionally add notes
- Session is created and opened automatically
Inventory Session Page
Active Session
When a session is active, you'll see:
Session Information
- Session ID
- Date
- User who created it
QR Scanner
- Large, prominent scanner
- Scan asset QR codes
- Automatic processing
Scanned Assets
- List of all scanned assets
- Scan ID and item name
- Timestamp of scan
Scanning Assets
- Position asset QR code in scanner view
- System automatically processes
- Asset appears in scanned list
- Duplicate scans are handled gracefully
Closing a Session
- Click Close Session button
- Confirm closure
- Session is closed and archived
Note: Closed sessions cannot be modified.
Session History
View past inventory sessions:
- List of all sessions
- Date and user information
- Click to view session details
Best Practices
- Organize First: Plan your inventory route
- Scan Systematically: Work through locations methodically
- Check Duplicates: System handles duplicates, but verify
- Close When Done: Close sessions when inventory is complete
- Document Issues: Use notes for discrepancies
